Client Notes

What Are Client Notes?

Client notes let you keep a private record of important details about each client — things like injuries, preferences, personal milestones, or coaching observations. Notes are visible only to you and are never shown to the client.

Adding a Note

Open a client’s profile and go to the Notes tab. Click + Add Note, write your content, and save. Each note is automatically timestamped with the date and time it was created.

You can format notes using basic text styling (bold, italic, bullet lists) to keep them readable.

💡 Tip: Add a note right after each session or check-in review while details are fresh. This builds a useful coaching journal over time.

Pinning Notes

Important notes can be pinned to the top of the list so they’re always visible when you open the client’s profile. Click the pin icon on any note to pin or unpin it. Pinned notes appear in a highlighted section above the rest.

Common uses for pinned notes:

  • Ongoing injuries or medical conditions
  • Dietary restrictions or allergies
  • Client’s preferred training style
  • Key goals or deadlines

Searching Notes

Use the search bar at the top of the Notes tab to find specific notes by keyword. This is especially useful for long-term clients where you’ve accumulated months of notes.

Notes Visibility

📝 Note: Client notes are strictly coach-only. Clients cannot see, access, or be notified about any notes you write. If you need to share information with a client, use the Messages feature instead.
