Invoicing
Overview
FitSuite automatically generates invoices for every payment, so you always have a clean paper trail. You can also customize invoice details, download PDFs, and send them directly to clients.
Auto-Generated Invoices
Every time a client completes a payment — whether one-time or recurring — an invoice is created automatically. You’ll find all invoices under Payments → Invoices.
Each invoice includes:
- Invoice number
- Client name and email
- Service description (from the payment plan)
- Amount, currency, and date
- Payment status
Customizing Invoice Details
Go to Settings → Payments → Invoice Settings to configure:
- Your business name and address — appears at the top of every invoice.
- Tax ID / VAT number — displayed for compliance.
- Custom notes — add terms, thank-you messages, or bank transfer info as a footer.
Sending and Downloading
From any invoice, you can:
- Send it to the client via email with one click.
- Download a PDF for your records or to share manually.
Clients can also access their invoices from the client app under their payment history.
Payment Status Tracking
Each invoice shows one of three statuses:
- Paid — payment successfully processed.
- Pending — awaiting payment (e.g., during a trial or after a failed charge).
- Failed — the payment attempt was declined.
💡 Tip: Enable automatic invoice emails in Settings so clients receive their receipt immediately after each payment — no manual work needed.
⚠️ Warning: Invoice customizations (business name, address) apply to all future invoices but do not retroactively update previously generated ones.
